When you go from one to many people taking bookings, complexity explodes. Here's how to keep the calendar clean.

Managing a calendar for yourself is simple. Managing three is chaos when each person has their own schedule, days off, holidays and services. Let's break it down.

Base schedule per staff member

Each person has a weekly base schedule: e.g. Tuesday to Saturday, 9am-6pm, with a lunch break from 1pm to 2pm. That's the starting point. Anything that changes short-term goes in as time off or a one-off adjustment.

Time off and holidays

One-off time off (a free afternoon, a full day) goes in as exceptions. Long holidays (a week, a month) go in as a continuous block. In both cases, BookHero automatically blocks new bookings during the blocked intervals.

  • Updating ahead of time avoids having to call clients to reschedule.
  • Existing bookings don't disappear - they show with a warning so you can review.
  • If you swap days off with a colleague, enter both people for the same day.

Auto-assignment

If multiple staff perform the same service, you can let the client choose (more transparent) or the system assign automatically (faster). Available strategies:

  • Random: balances load over time.
  • Round robin: fixed rotation, ensures everyone gets clients in turn.
  • Least loaded today: assigns to whoever has the most open day.

Commissions
